How to share dashboards with external users in Bold BI
Overview
Bold BI is equipped with features that allow for the sharing of dashboards with a broad audience, including those outside your organization. This guide will walk you through the various methods available for sharing dashboards with external users. By following these methods, you can effectively share your Bold BI dashboards with external users while maintaining control over data access and security.
Methods for Sharing Dashboards
There are several approaches to sharing dashboards with external users:
- Sharing via Scheduling
- Public Dashboards
- Sharing with Data Protected by Row Level Security
Sharing via Scheduling
The Dashboard Schedule feature in Bold BI enables the scheduling of dashboards to be run and shared at specific times. Here’s how to schedule a dashboard:
- Navigate to the scheduling options and configure the desired time and frequency for the required dashboard to be run.
- Use the “External Recipients” field to add the email addresses of the external users who will receive the dashboard.
- Upon the scheduled time, an email with the dashboard image will be sent to the specified recipients.
For detailed instructions on setting up a schedule, please visit the Bold BI documentation on scheduling.
Public Dashboards
Public dashboards are accessible to anyone with the link, without the need for authentication. To make a dashboard public:
- Go to the dashboard settings in the Bold BI administration panel.
- Enable the option to make the dashboard public.
For more information on public dashboards and how to set them up, please refer to the Bold BI Public Dashboards documentation.
Sharing with Data Protected by Row Level Security
To ensure that external users only see the data they are permitted to view, Bold BI supports Row Level Security (RLS). This feature allows you to define user profiles with specific data access. To share a dashboard with RLS:
- Define user filters in the data source settings to match the data access levels for each user.
- Share the dashboard with the users, who will then only be able to view the data they are authorized to see.
For guidance on enabling row-level security and configuring user filters, please visit the Bold BI documentation on row-level security.
